Privacy notice
This notice explains how MatchaRated Pilates, trading as MatchaRated, uses personal data. Contact: admin@matcharated.com.
Whose data and what data
Listed businesses: business name, area, website, public social media handles and public metrics, and other public signals. Where a business is run by a sole trader, this can be personal data.
People who suggest a missing Pilates studio: the form needs no sign-up. The studio details you give are used to research and possibly add the Pilates studio. Any optional email (yours, or the studio's contact email) is only used to follow up on that suggestion, and yours only if you asked for updates. We never add it to a mailing list.
People who tell us about someone else's achievement: the form needs no sign-up. We use the name, Instagram handle, achievement and proof link you give to check the claim against the awarding body, an official register or reputable press. Your optional email is only used to follow up on that claim. Unchecked claims are never published.
People who nominate or compliment a Pilates instructor: we keep the instructor's name, studio or city, Instagram and your words privately. Compliments are only shared, with the instructor or publicly, if you give permission later. Your optional email is only used to confirm your nomination and to allow one nomination per person per Pilates instructor.
People who contact us, vote or verify a studio: the details you give us, such as name, email, studio and answers.
Site visitors: basic usage analytics (PostHog) to understand how the site is used.
We do not collect special category data.
Why we use it and our lawful basis
Under UK GDPR our lawful basis is legitimate interests: publishing independent editorial ratings of Pilates studios based on public information, and running the Awards. We have balanced this against the interests of the people concerned and use only the minimum data needed. Where you submit a form, we use your details to handle that submission.
Your rights
If you are a named instructor or a listed Pilates studio, you can opt out of being named at any time. Email admin@matcharated.com and we will remove you. You can ask to see, correct or erase your data, and you have the right to object to our use of it. Email admin@matcharated.com. We act on objection and erasure requests promptly, and within one month at the latest. You can also complain to the UK Information Commissioner's Office (ico.org.uk).
Sharing and keeping data
Confirmation emails: votes, nominations and Pilates instructor sign-ups only count after you tap a one-tap link we email you. No password is used. These are service emails only, never marketing, unless you separately ticked the news box.
How long we keep things: unconfirmed votes, nominations and registrations are deleted after 30 days. Certificate copies you send us are deleted within 7 days of being checked; we keep only a note of the certifying body, level, the date checked and who checked it. After the Awards results, vote records are reduced to a hashed email. To delete your data at any time, email admin@matcharated.com.
Fair voting: to keep the Awards fair we block temporary email addresses and keep a one-way hash of the network address each vote comes from, used only to spot unusual patterns for manual review.
We do not sell personal data. We use service providers for hosting (Vercel), analytics (PostHog) and email. We keep data only as long as it is needed for the ratings and Awards.
